Simplified English

Simplified English is a controlled form of English developed to make technical information clearer, more consistent and easier to understand, particularly for readers who are not native speakers of the language. Rather than simplifying ideas, it simplifies the language used to express them. The aim is to reduce ambiguity, improve readability and make technical documentation more reliable in contexts where misunderstanding could have serious consequences. Today, Simplified English is widely recognised as an important tool in technical communication, especially in industries where safety, maintenance and international collaboration are critical. S The best-known form is ASD Simplified Technical English (ASD-STE), originally developed for the aerospace industry during the 1970s and 1980s. Aircraft manufacturers found that maintenance manuals written in conventional English often contained ambiguous vocabulary, unnecessarily complex sentence structures and inconsistent terminology. These problems increased the likelihood of errors during maintenance and made translation into other languages more difficult and expensive. In response, the European Association of Aerospace Industries, now the AeroSpace and Defence Industries Association of Europe (ASD), developed a controlled language that specified not only how sentences should be written but also which words could be used and what meanings those words were permitted to have.

One of the defining features of Simplified English is its restricted vocabulary. The approved dictionary contains a carefully selected set of common words, each assigned a specific meaning. Words that have several meanings in ordinary English are either prohibited or restricted to a single sense. For example, a word such as ‘close’ could refer to physical proximity, the action of shutting something or the conclusion of an event. In Simplified English, such ambiguity is avoided by allowing only one meaning or by replacing the word with more precise alternatives. Technical terms that are specific to a particular field are allowed when necessary, but they must be used consistently throughout the documentation.

Simplified English also imposes rules on grammar and sentence structure. Writers are encouraged to use short, direct sentences, typically expressing one instruction or idea at a time. The active voice is generally preferred because it identifies clearly who or what performs an action. Long noun strings, excessive subordinate clauses and figurative language are discouraged because they increase the cognitive effort required to interpret the text. Writers are also advised to avoid unnecessary synonyms. If one approved word accurately describes a concept, that same word should be used throughout the document instead of being varied for stylistic effect.

These restrictions may appear limiting, but they serve practical purposes. Maintenance engineers, technicians and operators often consult technical manuals under demanding conditions, where speed and accuracy are more important than literary style. Clear, predictable language enables readers to locate information quickly and reduces the chance of misunderstanding. The consistency of Simplified English also improves machine-assisted translation and terminology management, making documentation easier to produce and maintain across multiple languages.

The benefits of Simplified English extend beyond aviation. It has been adopted, in whole or in part, within the defence, space, energy, rail and manufacturing sectors. Many organisations have also developed their own controlled languages based on similar principles. Even where the formal ASD specification is not used, technical communicators frequently follow comparable guidelines, such as using consistent terminology, limiting sentence length and avoiding ambiguous constructions.

Despite its advantages, Simplified English is not without criticism. Some writers find the rules restrictive and argue that the resulting prose can appear repetitive or unnatural. Producing compliant documentation also requires training and careful editing, as writers must become familiar with the approved vocabulary and grammatical rules. Nevertheless, supporters argue that the loss of stylistic variety is a small price to pay for improvements in clarity, safety and consistency. In technical documentation, the primary objective is not elegance but the accurate transmission of information.

It is also important to distinguish Simplified English from plain English. Although both aim to improve communication, they are not the same. Plain English seeks to make documents easier for a general audience by favouring clear organisation, familiar vocabulary and straightforward grammar. It allows writers considerable flexibility in word choice and style. Simplified English, by contrast, is a formal controlled language with prescribed vocabulary and detailed writing rules designed for highly technical documentation. Compliance can be measured objectively against the specification, whereas plain English relies more on general principles of good writing.

In modern technical communication, Simplified English continues to play a significant role. As engineering projects become increasingly international, documentation must be understood by readers with diverse linguistic backgrounds. Controlled language helps ensure that instructions are interpreted consistently, reduces translation costs and supports digital tools that analyse and verify documentation. Its continued use reflects the recognition that precision in language is an essential component of technical safety and operational effectiveness. While it is not suitable for every form of writing, Simplified English remains one of the most influential developments in the field of technical communication, demonstrating that carefully controlled language can greatly improve the accuracy, usability and reliability of complex technical information.
